Technology is at the heart of almost every modern business. From email and Microsoft 365 to accounting systems, cloud applications, printers, and customer records, your business depends on your IT working every day.
But when was the last time you actually checked whether your IT systems are ready for the year ahead?
For many small and medium-sized businesses, IT maintenance only happens when something goes wrong. A computer stops working, the internet drops out, an employee clicks a suspicious link, or an important file suddenly cannot be found.
A little proactive planning can prevent many of these problems. Here are seven areas every New Zealand business should review.
1. Check Your Cybersecurity
Cybersecurity is not just a concern for large corporations. Small businesses are also potential targets because they often hold valuable customer information and may not have dedicated IT security teams.
Start by checking:
- Are all computers running reputable antivirus or endpoint protection?
- Are operating systems and applications regularly updated?
- Is multi-factor authentication enabled for important accounts?
- Are former employees still able to access business systems?
- Are staff aware of phishing emails and suspicious links?
- Are important accounts protected with strong, unique passwords?
Security is most effective when it is proactive rather than something you think about after an incident.
2. Review Your Microsoft 365 Setup
Microsoft 365 can provide much more than business email. It can also support collaboration, document sharing, cloud storage, and communication through services such as Teams and OneDrive.
However, simply having Microsoft 365 does not automatically mean your business is fully protected.
It is worth reviewing:
- User accounts and licences
- Multi-factor authentication
- Administrator accounts
- OneDrive and SharePoint permissions
- Email security
- External sharing settings
- Backup and recovery arrangements
A properly configured Microsoft 365 environment can make everyday work easier while helping protect your business information.
3. Do Not Ignore Your Backups
One of the most important questions a business can ask is:
“If we lost our data today, could we recover it?”
Backups should be more than simply having an external hard drive somewhere in the office.
A good backup strategy should consider:
- What data needs to be backed up?
- How frequently is it backed up?
- Where are the backups stored?
- Are backups protected from ransomware?
- When was the last successful backup?
- Have you actually tested restoring your data?
A backup that has never been tested is not something you should blindly rely on.
4. Look at Your Older Computers
Old computers can become a hidden cost for businesses. A machine might still turn on and run your basic applications, but that does not necessarily mean it should remain in service.
Older hardware can lead to:
- Slower productivity
- Unexpected failures
- Higher repair costs
- Compatibility problems
- Security concerns
- Difficulty running newer software
Instead of replacing everything at once, consider creating a simple hardware lifecycle plan. Identify which computers are approaching the end of their useful life and plan replacements before they become an emergency.
5. Test Your Internet and Wi-Fi
A slow or unreliable network can have a surprisingly large impact on productivity.
If staff regularly complain about slow internet, dropped Wi-Fi connections, or applications taking too long to load, the problem may not simply be your internet provider.
Your business network should be reviewed as a whole. Consider:
- Wi-Fi coverage
- Router and switch performance
- Network cabling
- Internet connection speed
- Office layout
- Number of connected devices
- Guest Wi-Fi access
- Security settings
For businesses operating across multiple rooms, buildings, or locations, properly designed networking becomes even more important.
6. Have a Plan for When Something Goes Wrong
Every business experiences IT problems eventually. The difference is how quickly you can recover.
Ask yourself:
If our main server stopped working tomorrow, who would we call?
If an employee's laptop failed, how quickly could they get back to work?
If our email was compromised, what would we do first?
If we lost important files, how would we restore them?
Having an IT support provider you can contact when something goes wrong can significantly reduce downtime. Even better, proactive monitoring and maintenance can identify certain problems before they become major disruptions.
7. Review Your IT Before You Need It
The best time to review your IT is not after a computer failure, security incident, or major outage. It is while everything is still working.
A basic IT health check can help identify:
- Security weaknesses
- Outdated hardware
- Poor backup practices
- Network problems
- Unnecessary software
- Licensing issues
- Unsupported systems
- Potential points of failure
This gives your business the opportunity to fix problems on your own schedule instead of dealing with them during an emergency.
